Job Purpose
The Administrative Officer serves as a key process owner within the Registry, ensuring that administrative activities comply with university statutes, Senate decisions, and established best practices. This role is central to supporting UAST’s transition to a modern, digital-first university administration.
The successful candidate will coordinate daily administrative processes, supervise junior staff, and ensure that student and staff records are accurate, timely, secure, and fully compliant with institutional and regulatory requirements.
Key Duties and Responsibilities
- Coordinate Registry workflows relating to admissions, examinations, results processing, graduation, and academic records.
- Supervise Administrative Assistants and ensure assigned tasks are completed accurately and on time.
- Prepare draft reports, schedules, circulars, minutes, and official correspondence.
- Maintain, update, and manage student and staff databases in line with data governance standards.
- Support Senate, Congregation, and statutory committee documentation and record-keeping.
- Enforce records management, archiving, confidentiality, and data protection policies.
- Liaise with Schools, Departments, Directorates, Institutes, Centres, and external bodies on Registry-related matters.
- Support digital transformation initiatives within the Registry.
Minimum Qualifications
- Bachelor’s Degree (minimum of Second Class Lower Division) in Public Administration, Business Administration, Management, Social Sciences, or a related discipline from a Senate-recognized institution.
- Certificate of NYSC Completion or Discharge.
- Minimum of three (3) years relevant administrative experience in a tertiary institution or comparable organisation.
- Strong proficiency in Information and Communication Technology (ICT).
- Evidence of requisite professional registration.
- Membership of the Nigerian Institute of Management (NIM), CIPM, or related professional bodies is an added advantage.
