Job Summary

The Operations / Administrative Officer will be responsible for supporting both strategic and day-to-day operations of the organisation. This role ensures that administrative systems, workflows, records, and internal processes run smoothly and in line with company policies. The ideal candidate should have solid experience in school administration and/or banking and finance operations, with the ability to manage academic processes, financial documentation, reporting, and operational tasks with professionalism and integrity.

Key Responsibilities

Administrative and Operational Management

  • Coordinate daily office operations, scheduling, workflow, and documentation.
  • Develop and implement operational policies and procedures to improve efficiency.
  • Manage office supplies, assets, facility maintenance, and vendor relationships.
  • Supervise support staff and ensure proper task delegation and performance tracking.
  • Maintain organised digital and physical filing systems for easy access and compliance.

School Administration Responsibilities

  • Support admissions, student enrolment, record keeping, and reporting.
  • Coordinate academic calendars, staff schedules, assessments, and school events.
  • Manage student information systems while ensuring data accuracy and confidentiality.
  • Provide administrative support to teachers and academic staff.
  • Handle communication with parents, guardians, and external stakeholders.

Banking and Finance Administration

  • Prepare and process invoices, payments, requisitions, and reconciliations.
  • Manage petty cash, deposits, cash flow, and transaction records.
  • Monitor budget usage and prepare basic financial reports.
  • Support audits and ensure compliance with financial policies and controls.
  • Liaise with banks, finance teams, and auditors when required.

Compliance, Reporting and Documentation

  • Maintain up-to-date records for regulatory and audit compliance.
  • Prepare administrative and operational reports for management review.
  • Support risk management and ensure adherence to internal procedures.
  • Keep staff informed about changes to policies and operational guidelines.

Communication and Stakeholder Engagement

  • Serve as a communication link between departments, staff, students, parents, and partners.
  • Draft official letters, memos, notices, and internal communications.
  • Support customer service by responding promptly to enquiries and complaints.

Qualifications and Experience

  • Bachelor’s Degree in Business Administration, Management, Education Administration, Finance, or a related field.
  • Minimum of 3–5 years experience in school administration.
  • Experience in banking operations, finance administration, or accounting support.
  • Good understanding of administrative systems, office management, and financial processes.

Skills and Competencies
